Welcome to APEX AI Coach. This Privacy Policy explains how we collect, use, and protect your information.

This Privacy Policy applies to the mobile app listed on Google Play as Walk + Water AI Coach, package name com.bodybyreason.apex, and to the APEX AI Coach app experience. The app is developed and operated by BodyByReason.

INFORMATION WE COLLECT

We collect: name and email address (waitlist/signup), quiz answers (steps, water, goals, preferred walk time), gender (to personalize your plan), AI chat messages, messages and posts you send to other members (team chat, direct messages, and the community feed), profile photos you upload, weight and goal weight if you choose to log them, your daily step and water logs, subscription and purchase status from Apple or Google, shipping address (for shake and supplement orders), zip code (to show on-the-go meal options near you), usage analytics linked to your account, app interaction and technical information collected through Microsoft Clarity, and precise device location when you choose to start a tracked walk and grant location permission.

HEALTH & ACTIVITY DATA

Your daily step counts, water logs, and challenge streaks are stored on our servers, not only on your device. This is required for the challenge to work: the leaderboard, your team's score, and your profile all read these figures from your account.

Weight and goal weight are different. If you choose to log them, they are stored on your account and are visible only to you. They are never shown on the leaderboard, on your team, to other members, or on a share card unless you explicitly tick the box to include them, which is off every time.

WHAT OTHER MEMBERS CAN SEE

Walk + Water is a group challenge with a public leaderboard. Other participants can see your display name, your profile photo, your daily steps and water, your streak, your rounds finished, your level, and the badges you have earned. If you join a team, your teammates also see your contribution to the team's score.

Other members never see your weight, your goal weight, your calories or macros, anything from Fuel, your AI Coach conversations, or your email address.

LOCATION DATA FOR WALK TRACKING

If you choose to use the walk tracker and grant location permission, APEX accesses and collects precise device location to record your walking route, calculate distance and pace, keep walk tracking accurate when your screen locks, and create in-app or shareable route maps.

On Android, Walk + Water AI Coach may request background location so these walk tracking features can continue even when the app is closed or not in use. Location data is used only for walk tracking features you start. We do not sell location data, and we do not use location data for advertising.

You can deny or revoke location access in your device settings. The app will still work, but route maps, distance, pace, and locked-screen walk tracking may be limited or less accurate.

HOW WE USE YOUR INFORMATION

We use your data to generate your personalized Walk + Water Challenge plan, score the challenge and rank the leaderboard, track walks you start, including route maps, distance, pace, locked-screen tracking, and walk summaries, power AI Coach responses via Anthropic Claude, deliver messages between you and your team or coach, send push notifications and emails, manage your subscription, fulfill shake and supplement orders, show relevant on-the-go meal options based on your zip code, and improve the app. We do not sell your personal information.

MICROSOFT CLARITY

We use Microsoft Clarity to understand how people use APEX and improve the app. Clarity may collect app interaction and usage information, including screens viewed, taps and gestures, layout information, device and app information, and diagnostic data, and may create session recordings.

We use this information for analytics, troubleshooting, and product improvement. We do not use Clarity to make decisions about you or sell this data. We do not intentionally send Microsoft Clarity your name, email address, payment information, or a custom account identifier.

APPLE HEALTH & ANDROID HEALTH CONNECT

On iOS, with your permission, APEX reads your step count and active energy from Apple Health to show your daily activity and progress. This access is read-only. APEX does not write anything to Apple Health.

On Android, with your permission, APEX reads Steps and Distance from Health Connect for the same purpose. If you also grant write access, APEX writes your finished walks back to Health Connect as walking exercise sessions, so a walk you recorded here appears alongside the rest of your fitness data. You may grant read access without granting write access; the walk tracker still works.

You can revoke either permission at any time in your device's Health or Health Connect settings.

AI COACH & ANTHROPIC

The AI Coach is powered by Anthropic's Claude. Messages are processed per Anthropic's privacy policy at anthropic.com/privacy. Do not include sensitive medical information in chat messages. AI responses are for general wellness only, not medical advice.

CONNECTED WEARABLES & GOOGLE HEALTH DATA

APEX lets you optionally connect a wearable, such as a Fitbit, so your activity can appear inside the app. This connection is powered by Google. When you tap "Connect," you are taken to Google's own sign-in and consent screen, where you choose whether to grant APEX read-only access to your data.

What we access: with your explicit consent, APEX requests read-only access to your Google Health activity and fitness data, including steps, distance, active energy, heart rate, body and health metrics, and sleep. We never request write access and never modify your Google data.

How we use it: only to provide and improve user-facing features inside APEX, including showing your daily activity and progress and giving your AI Coach context to personalize guidance. We do not use Google Health data for advertising or to build profiles for any purpose unrelated to features you see in the app.

How we store it: your Google access and refresh tokens are stored securely on our servers, Supabase, encrypted at rest and in transit, and are never placed on your device. APEX requests your current metrics from Google on demand; we do not retain a long-term copy of your Google health history.

Sharing: we do not sell, rent, or transfer Google Health data to third parties, and do not transfer it to others except as necessary to provide or improve the feature, to comply with applicable law, or as part of a merger or acquisition with prior notice. Humans do not read your Google Health data except with your specific consent, where required for security or to comply with the law, or in aggregated/anonymized form.

Limited Use: APEX's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements: https://developers.google.com/terms/api-services-user-data-policy

Revoking access: you can disconnect at any time from the Connected Devices screen in APEX, which deletes the stored tokens from our servers. You may also revoke APEX's access from your Google Account at myaccount.google.com/permissions.

PHOTOS & VIDEOS YOU UPLOAD

Profile photos, form review clips, and recorded coaching sessions are stored in our media storage and served over long, unguessable HTTPS links. Anyone who has the exact link can open the file, so treat any such link you share as public. We do not list these files publicly or make them searchable.

Your profile photo is shown to other members on the leaderboard, on your team, and on your profile. Form review clips are used for coaching purposes and are not posted to the community feed.

DATA STORAGE & SECURITY

Account data, challenge data, messages, weight logs, and uploaded media are stored on Supabase, SOC 2 Type II. Some plan progress and preferences are also cached on your device so the app works offline. Shipping addresses for product orders are stored securely for fulfillment purposes only. Payment processing is handled by Stripe and by Apple and Google for in-app purchases - we never store or access your full card details. We use HTTPS and encryption for all data in transit and at rest.

DATA RETENTION

Account data, including step and water history, messages, and weight logs, is retained for the life of your account, then deleted or de-identified within 90 days of account deletion, unless longer retention is required by law, fraud prevention, or dispute resolution.

Usage analytics retained in your account are retained for the life of your account, then deleted or de-identified on the same 90-day schedule. Microsoft Clarity session-replay and interaction analytics are retained according to the retention controls configured for that service. Aggregated statistics that cannot identify you may be kept indefinitely.

Data cached on your device is retained until you delete the app.

Waitlist / marketing emails are retained until you unsubscribe.

THIRD-PARTY SERVICES

APEX uses Supabase for backend, auth, and media storage, Anthropic for AI Coach, Microsoft Clarity for app interaction analytics and session replay, Stripe for payment processing, RevenueCat for subscription and purchase management, Expo/EAS for push notifications, LiveKit for live coaching sessions, Resend for email, map providers for route-map display for walks you choose to track, Google for wearable connection via the Google Health API and OAuth sign-in when you choose to connect a device, and Apple/Google for app distribution and in-app purchases.

YOUR RIGHTS

You may access, correct, delete, or export your data. To exercise these rights, email us at coach@apexai.coach. You can unsubscribe from emails via any email footer link, disable push notifications in your device settings, remove your profile photo in the app, and deny or revoke foreground or background location access in your device settings.

CHILDREN'S PRIVACY

APEX AI Coach and Walk + Water AI Coach are not intended for children under 13. We do not knowingly collect data from children under 13.
